Request for Proposals: Janitorial Services
OVERVIEW
The Children’s Museum & Theatre of Maine (CMTM) is soliciting proposals for cleaning / janitorial services. CMTM seeks a company (the Company) with attention to detail and an understanding of the specific needs of safety and cleanliness in a children’s environment.
ABOUT CMTM
CMTM owns and operates a 29,000 square foot facility with 19,000 square feet of exhibits, 9 bathrooms, 2 office areas, and a main lobby. CMTM is open 6 days per week (Wednesday-Monday) to the public and is requesting proposals for a consistent, nightly janitorial service Wednesday, Thursday, Friday, Saturday, Sunday, and Tuesdays serving 200,000 children and adults annually.

Building Tours for Finalists: November 10-15th, 2025

New Services Start Date: January 5, 2025 (or when mutually determined)
SELECTION PROCESS
The selection process will be by appointed CMTM staff. Staff will meet to discuss the proposals and pricing provided by each company and determine which companies to call in for building tours. The selected companies must meet with CMTM staff to discuss their proposal prior to selection of services. References will be required for final candidates. CMTM’s selection will take into consideration cost, consistency, understanding of CMTM’s needs, and reliability.

Please note:
Proposals are to be prepared in such a way as to provide a straightforward and concise description of the Company's capabilities to satisfy the requirements of this RFP and provide sufficient information to fully establish the Company's ability to perform all of the actions, activities, and functions described in this RFP.
Costs for developing the Proposal are entirely the responsibility of the Company and shall not be chargeable to CMTM.
SCOPE OF SERVICES
General:
Secure timely, consistent, and cost-effective janitorial services from one contractor to ensure clean and safe public space facilities for employees and visitors of CMTM. The work covered in this specification includes furnishing all labor, equipment, some supplies, and supervision necessary for complete janitorial service. It shall be understood that in addition to these services, all tasks incidental to cleaning functions not specifically listed but normally included in general janitorial practices will be provided by the contractor.

CLEANING SCOPE
(note: “clean” is general term used to indicate both cleaning and disinfecting in accordance with best practices by surface type)
Daily:
Empty trash, compost, and recycling receptacles throughout public spaces
Remove trash to dumpster; recycling and compost to sorted bins
Thoroughly clean bathrooms and sinks and restock paper supplies as needed (20 sinks, 19 toilets and 6 urinals)
Clean water fountains (6)
Stack chairs as needed to clean underneath
Vacuum all public floors including stairwells and theatre* (note: this includes some difficult to reach areas including upper levels of exhibits reachable by staircases, and nooks and corners in exhibits spaces)
Damp-mop all public non-carpeted floors (excluding stairwells)
Special cleaning attention paid to water exhibit flooring (requires specialized cleaning procedures and nightly attention, approx.1,0000 square feet)
Wipe & sanitize all stairwell hand rails
Clean and sanitize all door handles/push plates
Clean vestibule, lobby, and stairwell door window glass
Clean elevator walls and buttons (stainless interior)
Clean chairs, high chairs, and stools (100)
Clean table tops and bar tops (approx. 20)
Clean high-touch areas in play exhibits (knobs, handles, steering wheels, counters, etc.)
Clean all wipeable cushioned floor and seat areas in toddler play space
Cobweb brush horizontal surfaces (< 60" daily)
Clean and dust doors, jambs, and frames
Weekly:
Vacuum all office floors
Mop all office floors
Empty office trash and recycling (in individual office spaces and shared spaces)
Clean office door windows
Clean and sanitize office door handles
Clean light switches
Clean staff kitchen: vacuum, mop, wipe counters, clean sink
Damp-mop stairwells
Clean door jambs
Clean 1st, 2nd & 3rd floor and stairwell window glass (interior)
Clean all window sills
Dust HVAC vents
Additional Services:
High-dust quarterly
Exterior window wash bi-annually
